ODD FELLOWS HALL SEEKS MANAGER

Located on beautiful Madrona Point in Eastsound, the Hall has been a natural community gathering place since it was originally built in 1891, hosting a variety of classes, dances, weddings and receptions, art fairs, fundraisers, birthday parties, and community events. It includes a 2,500 sq/ft event space, outdoor deck and patio, and a commercial kitchen and restaurant space.
The Odd Fellows are seeking a qualified candidate to fill the Hall Manager position beginning November 1, 2024. The deadline to apply is October 18th, 2024. Position Summary
The Odd Fellows Hall Manager leads and organizes the operation of the Odd Fellows Hall, innovating systems to ensure efficient and profitable operations while maximizing community value. The Odd Fellows Hall Manager is responsible for establishing and managing client relationships; fostering a positive and collaborative working relationship with the Odd Fellows, primarily through regular communication with the Odd Fellows Liaison; ensuring promotion of the venue to both on-island and off-island audiences; ensuring timely maintenance and cleaning of facilities; collecting, depositing and tracking rental payments, and assisting in creating the venue’s annual budget.
Minimum Duties of the Hall Manager
Odd Fellows Hall Manager reports directly to the Odd Fellows Lodge liaison.
Part Time: Currently 10 hours per week average (520 hours annual total). Regular weekend and holiday hours required. The actual schedule week to week will be based upon events and organizational needs. Compensation structure and amount is to be part of any proposal.
Tasks and Responsibilities
The Hall Manager stays in close communication with both clients and the Odd Fellows. Specifically, you will:
-- Establish, maintain, and manage client relationships, ensuring consistently positive experiences, including:
Communicating with clients and potential clients via phone and email
Scheduling and leading venue tours
Establishing rental contracts
Checking in events
Training clients on the use of venue equipment
Soliciting client feedback and noting areas for improvement
Other tasks as needed to ensure a positive client experience
-- Communicate regularly with the designated Odd Fellows Liaison, working to foster a positive and collaborative working relationship with the Odd Fellows, including:
Meeting approximately once per month for 30 minutes to an hour to discuss any ideas or issues
Communicating any needed building improvements that would fall under the Odd Fellows’ responsibility
Managing venue finances in an organized way and providing the Odd Fellows Liaison with transparent
financial reports on a basis consistent with the compensation structure but at least quarterly
Responding to challenging situations in a kind and professional manner
Completing goals and tasks in a timely manner, meeting established deadlines
Creating written "standard operating procedures" to support training of backup staff as well as future management succession
Ensuring cost-effective promotion of the venue to both on-island and off-island audiences, including keeping the Odd Fellows Hall website, resource list, and events calendar accurate and up to date
Ensuring phone and voicemail system and any other information and communication systems necessary for effective operations of the venue are in place and in working order
Assisting in monitoring the building’s physical functions (i.e. electrical, heating, plumbing, mechanical) for the safe operation of the hall
Ensuring all laws and regulations applicable to the operation of the venue are followed
Ensuring timely maintenance and cleaning of facilities
Requirements and Qualifications
Excellent communication skills, both written and verbal
Proficiency with common computer programs for communication and record keeping, both financial and narrative
Strong organizational skills
Ability to solve problems and make decisions independently
Ability to work flexible hours including evenings and weekends when needed
Strategic thinking
Ability to work independently as well as collaboratively with others
Experience supervising and managing staff
Demonstrated ability to effectively multi-task, including organization, prioritization, and time management skills
Physical Requirements: Duties within the purview of the Hall Manager require the ability to sit, talk and hear; use hands to handle and feel; walk and stand, climb and balance, stoop, kneel, crouch or crawl; lift and/or move up to 50 pounds. Specific vision abilities required by this job include color vision and depth perception.
